Copies of your valid FOOD MANAGERS CERTIFICATE and CHESTER COUNTY MOBILE FOOD VENDOR LICENSE (number begins with CCHD#) or TEMPORARY FOOD FACILITY CERTIFICATE issued by the Chester County Health Department (CCHD) must be submitted with your application. It is the sole responsibility of the vendor to confirm with CCHD whether they have the proper license for this event. Any additional related licensing fees are solely the responsibility of the vendor. The CCHD does verify which food vendors will be present and checks our list against their records. OACC will not be liable for those vendors who are prohibited by CCHD from participating due to failure to meet the CCHD guidelines. No refunds will be issued under any circumstances. No late registrations will be accepted. No exceptions.

You are NOT required to have a website in order to participate! We will promote our vendors via spotlights on our Facebook page and will use information from your website (if any) in our selection process. Please include links to all online presences you'd like us to consider and/or promote for your business.

NON-FOOD VENDOR TERMS & CONDITIONS OF RENTAL:

Crafter/Artisan rental rates for 2026: Single 12×12 space – $50 each

• All applications must be submitted through our online system.

• Applications will be reviewed on a rolling basis. You will be notified via email if your application has been accepted and at that time, you will receive a payment link with a deadline for payment. Once your payment is received, we will send you a final confirmation of your vendor status. No spaces will be held without payment.

• Any vendor selling edible products that will be prepared and/or packaged on site must register as a food vendor and obtain a license from the Chester County Health Department.

• The vendor theme of this festival is crafters/artisans/creators. Vendors in certain popular categories will be limited. Vendors selling for direct sales company inventory, mass-produced goods, or handmade products that are similar to those already being offered by multiple other accepted vendors may not receive an invitation. If this occurs, we will let you know and add you to the waitlist if possible.

• All vendor booth spaces are 12 ft. x 12 ft. including weights, anchors and displays. If additional space is required beyond your 12x12 canopy size, please reserve additional space.

• Vendor spaces will not be numbered and assigned in advance. Your acceptance guarantees you a spot, but not where that spot will be located. Spaces will be assigned first come, first parked.

• Your standard passenger vehicle (not a semi truck) may be parked directly adjacent to your booth space for ease of unloading and storing additional product that may be needed quickly. However, ALL VEHICLES WITHIN THE FESTIVAL PERIMETER AT THE START OF THE FESTIVAL MUST REMAIN IN PLACE FOR THE ENTIRE DURATION OF THE FESTIVAL. If your vehicle will be needed elsewhere during the festival, you must move it to the parking lot PRIOR to the start of the festival.

• Spaces designated for vehicles may not be used to display wares or extend your booth in any way. To maintain a pedestrian-safe environment, patrons will not be allowed in the vehicle-designated areas and NO vendor vehicles will be allowed to move within the festival perimeter until the festival concludes and patrons are not walking the area. NO EXCEPTIONS.

• You are responsible to provide your own tables, chairs, change, etc. and to clean up your area upon departure.

• This is an outdoor event. For the safety and comfort of our guests, only food vendors may have generators. There is no electricity available on site for vendor use.

• The Oxford Area Chamber of Commerce and Oxford Area Recreation Authority assumes no liability; entry and participation is voluntary and at the participants’ own risk. The applicant acknowledges, on behalf of the organization or entity listed above, that he/she accepts full liability and responsibility resulting from any negligent activities. By agreeing to participate in this function, the entity agrees that it will hold the Oxford Area Chamber of Commerce and Oxford Area Recreation Authority harmless from any injury or property damage caused to any individual or groups of persons as a result of its activities. The Oxford Area Chamber of Commerce and Oxford Area Recreation Authority expressly disclaims all liability resulting from the actions of participants in the event, acts of God and unforeseen events. This disclaimer shall flow to all participants in the event.

The festival hours are 10AM – 4PM All participating vendors agree to have their displays set up prior to the start of the festival, and to leave their displays in place until the end of the festival.

• Remember, this is a family-friendly event, you will be asked to remove any materials deemed inappropriate by the Festival committee.

• FEES ARE NON-REFUNDABLE. This event is a rain or shine outdoor event. We are unable to issue refunds for any reason. By signing this application you agree to these terms.

• By default, all participating vendors will be assigned good standing upon registration. Any changes to this status are determined at the discretion of the Festival committee. Actions that can affect standing include, but are not limited to: no-shows, violating terms of this agreement and/or disregarding directions of staff during load-in/load-out. Repeat infractions may result in exclusion from future festivals.

• Vendor updates will be sent via our group mailing system, so it is extremely important that you have added harvestvendors@gmail.com to your contacts, your approved senders, and/or have whitelisted this address
